Privacy Policy
Effective August 9, 2026.
Xemptive helps Florida multifamily property owners obtain the affordable housing property tax exemption under s.196.1978(3), Florida Statutes. Doing that requires two very different kinds of information: records about a property and its owner, and income information from the households who live there. This policy describes both, and it is deliberately specific about which is which.
If you are a resident
You may have received an email with a private link asking you to confirm who lives in your home and what income comes in. That request comes from your property owner's participation in the Live Local Act program. Here is what happens to what you enter.
What we collect from you
- The names, dates of birth and relationship of the people who live in the home.
- The last four digits of a Social Security number, only if you choose to provide it. We never ask for the full number and have no way to store one.
- What income comes in, from what source, and how often.
- Photographs or files of the documents that show that income, such as pay stubs or benefit letters.
- Whether you opened the link, started the form, and submitted it.
Who can see it
Your property owner and their staff cannot see any of it. They see whether a unit has responded and where it is in the process. They do not see names, household composition, income amounts, or any document you upload. This is enforced in the software, not by policy alone.
A trained reviewer at Xemptive reads your submission in order to check it against the program's requirements. We record every time one of our reviewers opens your household or a document you provided.
How it is stored
What you submit is encrypted, held separately from every other property owner's data, and reachable only by the reviewers whose work requires it.
How long it is kept
How long we keep your information depends on the record-keeping rules that apply to your property and your jurisdiction. When that period ends, the documents you provided are deleted and cannot be recovered. We keep a record that a document was received and reviewed, so the filing can still be shown to have been supported, without the document itself remaining readable.
Your choices
- You can decline. Every invitation includes a link to opt out, and opting out stops all further messages about this permanently.
- You do not need an account, a password, or an app. Your link expires, and a replacement is sent only to the address your property owner has on file for you.
- To ask what we hold about you, or to ask for it to be deleted, email privacy@xemptive.com. We may need to confirm your identity with your property owner before acting, and we will tell you if a legal record-keeping obligation prevents deletion.
If you are a property owner or operator
What we collect
- Account information: name, email address, and organization, provided when your account is created.
- Property records: address, parcel, county, units, floorplans, rents and occupancy, whether typed in or imported from a rent roll.
- Owner entity information required by FHFC, including entity names, FEINs and registered agents.
- Documents you upload or that the platform generates for your filing.
- Usage and error information needed to operate and debug the service.
How we use it
To run eligibility checks, generate the documents your certification requires, produce the packet your county property appraiser expects, and keep the audit trail a compliance filing depends on. We do not sell your data, and we do not use resident income data for any purpose other than the verification your certification requires.
Service providers
We use a small number of vendors to operate the platform. Each acts as a processor on our instructions, has access only to what its function requires, and is not permitted to use what it holds for its own purposes.
- Vercel, for application hosting.
- Neon, for database hosting.
- Cloudflare, for document storage.
- Clerk, for account sign-in. Residents have no account and are not in Clerk.
- Resend, for outgoing email.
We will update this list when it changes. If you need it in a different form for a vendor review, email privacy@xemptive.com.
Disclosure
We disclose information when you direct us to, to the vendors above, and where required by law. A completed certification packet is filed with the Florida Housing Finance Corporation and your county property appraiser because that is the purpose of the filing; what it contains is described in the platform before you submit it.
Security
Resident financial information is encrypted in transit and at rest, kept isolated between organizations, and separated by role so that a customer account cannot reach it. Every read of it by our staff is recorded. To report a vulnerability, email security@xemptive.com.
Children
The platform is not directed to children. Household composition records may include minors because the program's income limits depend on household size; that information is provided by an adult member of the household and is subject to the same handling described above.
Changes
If we change this policy in a way that affects how resident data is handled, we will say so here and date the change. Continued use of the platform after a change means the updated policy applies.
